Administration & Management Assistance
(30h/ week) from mid-November 2025

The Bruno Kreisky Forum for International Dialogue (BKF) is a non-partisan, non-profit association based at Armbrustergasse 15 in Vienna-Döbling, in the former residence of Federal Chancellor Bruno Kreisky. Founded in 1991, the BKF has made a name for itself in Austria and internationally as a think-and-do tank and centre for discussion, dialogue, education and mediation in politics, business, culture and civil society. More than 10,000 people attend our panel discussions, workshops and conferences every year and get involved in our projects - in Austria, Europe and globally.
A long-standing employee retires and we are looking for a new team member from mid-November 2025, who is communicative and motivated, looks after our administration and supports our dedicated team in the following areas:
Areas of responsibility
- Assistance to the Secretary General/Management (e.g. coordinating appointments, preparing reports)
- Administration management and general office organisation (e.g. mail, telephone, reception, coordination of cross-departmental calendars)
- Organisation of cross-divisional internal meetings
- Management of the Armbruster villa and garden, as well as the office infrastructure
- House rental
- Initial technical support for the team (IT, telephone system)
- Processing of banking transactions (online banking) and cash management as well as accounting support
- Support in event management and in looking after guests and visitors
- Onboarding of new employees/interns and monthly monitoring of working hours
We expect
- Completed education (e.g. HAK, HLW, HTL)
- Very good MS Office skills (Word, Excel, Power Point, Outlook), knowledge of Mailchimp an advantage), technical affinity
- Good self-organisation, structured way of working and initiative
- Friendly and professional demeanour, helpfulness and discretion
- Very good German and good English skills (other languages are welcome!)
- Willingness to work flexible hours (evening shifts with time off in lieu)
- Professional experience in a comparable position is an advantage
